How to Add a New User in DriveCentric

Adding a new user in DriveCentric involves specific steps, permissions, and required information. This guide provides a comprehensive overview of the process, including general instructions, organization-specific requirements, and troubleshooting tips.

General Process for Adding Users

To add a new user in DriveCentric, follow these steps:

  1. Gather Required Information: Collect the following details about the new user: - First Name - Last Name - Title - Email Address - Valid Cell Phone Number (carrier-provided; VOIP numbers like Google Voice are not accepted) - User Type (role/position) - DMS ID (if unavailable, enter a placeholder such as a single letter or "x") - CarWars Code (if applicable)

  2. Navigate to User Management: - Go to Store SettingsUser Management. - Click the green “Add User” button in the top-right corner.

  3. Enter User Details: - Fill in the required fields with the user’s information. - Save the profile. The new user will receive a text message prompting them to log in and reset their password.

Permissions and Roles Needed

Adding a user requires specific permissions. If you do not see the User Management option, you may need an Expert User to grant you the necessary permissions:

  • Ask an Expert User to: - Open Store SettingsUser Management. - Search for your user profile. - Enable the “Manage Store” toggle under the Permissions tab.

Workarounds and Exceptions

Bypassing DMS Requirements

If a DMS ID is not yet available, enter an "x" in the DMS field during user creation. This allows the user to be set up and begin training or adding customers. Update the DMS field later with the correct value.

Handling Duplicate Accounts Across Groups

DriveCentric does not allow the same user account across different groups. To add a user with an existing account in another group:

  • Create the user with a slightly modified email (e.g., add a "+tag" or alter a character).

  • Use the same cell phone number; it can exist in both profiles across separate groups.

Troubleshooting Common Issues

  • Cannot See User Management Option: Ensure you have the “Manage Store” permission enabled by an expert user.

By following these steps and guidelines, you can successfully add new users to DriveCentric.
