Prerequisite Permissions: Manage Store
To add a new user to Drive, simply:
Click your initials in the top right
Then Store Settings (if you do not see this you don't have permission)
On the left hand side - User Management
In the top right click "Add User"
You will need to enter a First Name, Last Name, Email and Cell Phone Number to create a user. DMS number is required for Sales People if your store utilizes DMS integration.
For a user to be able to send and receive emails in DriveCentric you MUST enter the Drive Alias. This is their email in DriveCentric!
If the user is on a lead distribution based on Work Schedule you will need to click the Schedule tab and enter the hours the user should receive leads. This may or may not match their physical work schedule depending on how you assign After Hours leads.
Click Update once finished entering the user's information and schedule. The system will send the user a text to their cell phone number with the website, their username, and a temporary password!
The user will need to log into the Desktop version of DriveCentric to establish a new password, and then can use that information to log into the Mobile Application for DriveCentric!
Here is some clarifying info for each field:
First Name and Last Name (Straight Forward)
Title - This will show on their email signature
Email - This should be the users work email address
Drive Alias - This is the email domain that Drive registered for your transactional emails. Here is the formula for creating Drive Aliases, first part of work email + Drive Domain = Drive Alias. eg. sjobs@apple.com would = sjobs@driveapple.com
Forward Email - Mostly unused now a days with push notifications on our mobile app, but if a user would like to be notified by email, put their personal email here
Work Phone - Work Phone Cell Phone - Cell phone
Type - Select the Users role in the dealership
DMS - Please enter the users DMS # if they have one (Required for Sales)
Tags - Not needed right now
Reset Password - When you click this icon, a new temporary password will be sent to the user's Cell Phone number listed in their account. This would restart the login process for the user.
Team Leader - If the user manages other users, it is useful to make them a team leader so they can manage other users work plans. If a team member, select the appropriate leader.
Status - Clicking "Active" will deactivate a user. This means they will no longer have access to Drive. Clicking "Locked Out" will leave the user's account active, but not let the user log into the platform. Clicking "Vacation", will prevent the user from being assigned new leads through a distribution. Clicking "Exclude From Lists" hides the user from the drop downs in the activity tab, conversations, assign user fields, and pipeline filters. Clicking "Exclude From Rotate" would remove this user from having their leads rotated out of their name (if you have a Rotate Rule established in your DriveCentric account).
Reporting - Clicking Exclude removes the user from your reports. Access type available for stores with Standard/Advanced Reporting. Allows user access to Standard/Advanced reporting for users with Reports & Dashboards permission.
