Editing a Document - New
Adding form fields, assigning tokens, and editing deal documents

Once a document has been uploaded, you can open it in the document editor to detect form fields, assign merge codes ("tokens"), adjust field styling, insert images, and manage pages. Follow the sections below to edit your document.
Note: A document is not visible when printing from the customer card until it is Published. Finish all of your edits and token assignments first, then Publish when you're ready.
Opening the Document Editor
Go to Store Settings and select Documents from the left-hand menu.
Find the document you want to edit in the template list.
Click the Edit button in the Actions column to open the document editor.
Detecting Form Fields
For a brand new document:
When you open a new document for the first time, you'll see a Detect Fields button at the top. Click it to have the system automatically scan the document for form field locations and pre-assign tokens where it can.
For a document that has already been processed:
Instead of Detect Fields, you'll see the existing form fields along with a Review Inputs button. Click Review Inputs to review what was detected.
Understanding the Editor Layout
The editor is organized into three areas.
Left Side Panel — Navigation & Tools
Zoom — Zoom in and out on the document.
Hand / Select — Select and interact with existing form fields.
Forms — Add new form fields (text box or checkbox).
Right Side Panel — Form Field Properties
When you click into a form field, the right panel displays its properties:
Status — Gray means Unreviewed, Green means Verified.
Assigned Token — The token that auto-detection assigned to the field.
Field Type — Text (words) or Checkbox (check mark).
Edit Shape — Drag to reposition or resize the field, then click Done Editing when finished.
Edit Style — Change the font, add white-out or a custom background color (helpful for scanned forms), and set text alignment (for example, right-align for Buyer's Orders).
Bottom Panel — Token Search
Use the token search to find and assign the correct token to the selected form field.
Assigning Tokens to a Form Field
Click into a form field to select it.
In the Token Search panel, search for the token you need.
Click the token to assign it. The Assigned Token field on the right will update.
Click Verify to mark the field green.
Adding Form Fields Manually
If auto-detect missed something, or you need to add a field, you can draw one yourself.
Make sure the Hand icon is selected in the left panel.
Click Forms.
Choose Text Field or Checkbox.
Click and drag on the document to draw the field to the size you need.
To add more, Select the Text Field option again.
When you're done adding fields, click the Hand icon again to return to select mode.
Click into any field to edit it, resize it, or assign a token.
Editing Field Style
With a field selected, use Edit Style in the right panel to change the font, add white-out or a custom background color, and set text alignment.
Comb Fields
For fields like a VIN or Social Security Number, you can space characters evenly using a comb.
Open Edit Style for the selected field.
Choose a preset or custom comb.
Check the Comb checkbox to activate it.
Bulk Edit Style
The Bulk Edit Style tool lets you update the styling of every form field in the packet at once, rather than editing each field individually.
Click the Bulk Edit Style button.
Update the desired style settings.
Apply the changes to update all form fields in the packet at the same time.
Insert Image
The Insert Image tool lets you add an image anywhere on a page within the packet.
Click the Insert Image button.
Select the image you want to upload.
Position the image on the page.
Drag any corner of the image to resize it as needed.
Click another form field, or anywhere else on the page, to finish placing the image.
To remove the image, click it to highlight it and select Delete.
Adding, Deleting, and Reordering Pages
In the document editor, click the left panel icon to open the page thumbnail view, which shows all pages in the document.
Hover over the page you want to manage and click the three dots (⋯) to open More Options.
From the More Options menu you can:
Add a page — Click Insert → Upload, then select the PDF page you want to add.
Delete a page — Click Delete from the More Options menu.
Move / reorder pages — Click and drag the page thumbnail to the desired position.
Rotate a page — Click Rotate from the More Options menu.
Keyboard Quick Keys
When a form field is selected, you can use these shortcuts to work faster:
Key | Action |
Arrow Keys | Move the field left, right, up, or down |
E | Open the editor to drag or resize the field (press E again, or Enter, to save and close) |
T | Jump the cursor to the token search box — start typing immediately |
Arrow Keys (in token search) | Scroll through token results |
Enter (on a token) | Assign the token |
Enter (again) | Verify the field and move to the next one |
Saving Your Work
When you're ready to save, click the Save button. The system may prompt you that not all fields have been verified (that is, not all are green). This is fine — it does not affect the customer experience or the document itself. It simply means some fields haven't been marked as verified yet. Click Save Anyway to proceed.
⚠️ Don't forget to save! All token assignments and form field edits will be lost if you navigate away without saving.
