Sales Agent Dashboard

The Sales Agent Dashboard is your single view into what Sales Agent is doing on your floor, how your team is working with it, and what it is putting back on your bottom line.


What Is the Sales Agent Dashboard?

The Sales Agent Dashboard gives you a full picture of Sales Agent's performance in one place. You can see the money side (ROI, cost, and gross), the activity side (messages, first response times, appointments), and the behavior side (where your team is stepping in front of Sales Agent or firing it before it can work a lead). You can also see the skills Sales Agent runs for you and set up custom first responses based on where a lead came from.

Think of it the way you would think of any other producer's numbers. This is where you size Sales Agent up.


Where to Find It

The dashboard lives in the Agent Hub.

  1. Open the Agent Hub from your main navigation

  2. Select the Sales Agent

You will need Dashboards permission to see it. If you cannot get to it, check with your admin.


How to Use It

The dashboard has three main areas: the Overview tab, the Skills tab, and Source Prompts.

Overview Tab

The Overview tab opens by default and is organized into a set of cards. Each card groups related metrics so you can spot what matters quickly.

Overview. Your bottom-line view of what Sales Agent is costing and what it is putting back.

Metric

What It Tells You

ROI

ROI: How many dollars of deal gross this agent influenced for each dollar it cost in the dates you picked.

Human Equivalent ROI: The dollar value of hours this agent saved, compared with what the agent cost in those dates.

Monthly Cost

What your store pays for Sales Agent each month.

Gross Influenced

Total gross on deals Sales Agent worked.

Cost Per Lead

Your monthly Sales Agent cost divided by the number of leads it worked.

Cost Per Delivery

Your monthly Sales Agent cost divided by the number of deliveries it influenced.

Performance. Response discipline on new leads. Speed on the first response is one of the biggest levers on whether a lead turns into an appointment, so this card is the one to watch for that.

How many first responses Sales Agent sent.

Engagement Rate

How often the customer replied after Sales Agent's outreach.

Appointments. Appointments Sales Agent contributed to. Show rate lives and dies on confirmations, so this card is worth a regular look.

Activity. Raw outbound volume, so you can see how much work Sales Agent is doing.

Interference. Where you learn how your team is working with Sales Agent, or working against it. High numbers here are not automatically bad, but they are worth a conversation with your team.

The share of deals where a user's action prevented or interrupted Sales Agent's outreach.

Fired Before Engagement

How many times Sales Agent was fired from a deal before it could send its first message.

User Sent First Message

How many times a user sent the first message to the customer before Sales Agent could.

Outcomes. Sales tied back to Sales Agent's work.

Gross Influenced

Total gross on those deliveries.

Average Gross Influenced

Average gross per influenced delivery.

Efficiency. What Sales Agent is giving your team back in time and speed.

Response Speed Lift %

How much faster your store is responding to leads because of Sales Agent, in percent.

Response Speed Lift $

The dollar value tied to that response speed improvement.

Performance Trends. Two line charts so you can spot a slide before it costs you deals.

Delivery conversion over time.

Active Outreach. The live conversations Sales Agent is having with customers right now, if you want to look over its shoulder.


Skills Tab

The Skills tab shows every job Sales Agent runs for you. This view is read-only, so you can see at a glance what is turned on and working. The skills currently listed are:

Appointment Confirmation

Sends the customer a confirmation after a Sales-type appointment is created on the deal.

Appointment Reminders

Sends the customer a reminder before their appointment so they show up.

First Quality Response

Sends the first response to a new Internet or Campaign lead, usually within a minute or two of the lead coming in.

Long-Term Follow-Up Safety Net

Runs a separate follow-up cadence on deals that have gone quiet, so an inactive opportunity does not fall through the cracks.

Price Change Emails

Emails the customer when the price of a vehicle they were interested in changes.

Price Change Notifications

Notifies the customer of price changes on a vehicle they were interested in.

Short-Term Follow-Up

Continues follow-up in the early days of the deal when the customer has not yet responded.

Creating a Vehicle Exclusion

Vehicle Exclusions stop Sales Agent from engaging new leads whose vehicle of interest matches a vehicle the store has excluded. When a match blocks outreach, a note is posted to the customer card.

  1. Open the Vehicle Exclusions skill from the Skills tab

  2. Toggle Enabled on

  3. Click + Add Vehicle Exclusion

  4. Add one or more of the following fields

    1. Year

    2. Make

    3. Model

  5. Save the exclusion

Creating a Vehicle-Specific First Response

Vehicle-Specific First Response sends a custom first response on leads tied to specific vehicles. A common use case is reservation messaging on a vehicle that is not yet on the ground. This prompt is not applied to opt-in messages.

  1. Open the Vehicle-Specific First Response skill from the Skills tab

  2. Toggle Enabled on

  3. Click + Add Vehicle Prompt

  4. Add one or more of the following fields

    1. Year

    2. Make

    3. Model

  5. Write the message the customer will receive

  6. Save the prompt


Source Prompts

By default, Sales Agent uses its standard first response. Source Prompts let you change that first response based on where the lead came from. A Cars.com lead can get a different opener than a lead from your website, and a specific OEM source can get talking points that fit that program.

Editing Source Prompts requires Dashboard permission or Expert User status.

To add a Source Prompt:

  1. Click Add Source Prompt.

  2. Enter a Prompt Name. This is just an internal label so you can tell your prompts apart.

  3. Set the Source Pattern. This is the text you want to match on. If the lead's source description contains this text, the prompt fires. Matching is not case sensitive.

  4. Pick the Channel the prompt applies to: Email, Text, or All Channels.

  5. Write the Instructions you want Sales Agent to follow on matching leads. You can drop in a token if you want Sales Agent to pull in a specific detail.

  6. Save the prompt.

To manage an existing prompt: disable it to stop it from firing, or delete it to remove it entirely.


Good to Know

  • Dashboards permission is required to view the dashboard.

  • Dashboard permission or Expert User status is required to edit Source Prompts.

  • Skills cannot be adjusted from the dashboard. This view is read-only.
