Completing Your Workplan 2.0 Tasks

Finding your task list, to-do's, customer follow ups and finishing your workplan in the updated Workplan 2.0.

Your Workplan helps you stay on top of daily tasks by combining tasks you’ve scheduled and those generated automatically by your store’s business rules.

Accessing Your Workplan (Desktop)

To access your Workplan:

  • Click the hamburger icon in the top menu bar.

  • This will take you to My Workplan by default

    • Users with permission can use the dropdown menu next to My Workplan to navigate to Store Workplan or Enterprise Workplan

The workplan provides a quick glance of the activities the user need to complete.

  • Phone call task

  • Email task

  • Text message task

  • Video task

  • Generic task

Customizing the View

You can switch between list view and card view. Your choice will stick the next time you access My Workplan.

  • Card View

  • List View

    • Use the Column Selector (top-right corner) to add or remove columns like Customer, Due Date, and Task Type.

    • Tasks are automatically sorted by Due Date with today’s tasks at the top.

Tasks with multiple icons in the Action column/area allow you to choose which activity to complete. For example, you might have the option to either call, email, or text to complete the task.

Additional task details include:

  1. Customer: Customer name

  2. Action: Task activity

  3. Info: Task description

  4. Vehicle: Primary interested vehicle

  5. Due: Due date

  6. At: Time due

Completing Your Tasks

To complete a task:

  1. Click anywhere on the task row or anywhere on the card to open the Customer Card on the Activity Timeline.

  2. Complete the activity (call, text, email, etc.) as needed.

    1. For generic tasks (checkmark), click Mark Complete on the Customer Card.

  3. Once the task is completed, the Workplan list will refresh, and the completed task will be removed.

Completing Tasks Assigned to Another User

Tasks must be completed by the user they are assigned to. However, if you have message impersonation permissions, you can:

  • Send an email or text on behalf of the assigned user.

  • The task will automatically be marked complete after sending the message.

Viewing Upcoming Tasks

While Workplan 2.0 doesn’t include a calendar view for future tasks, you can check your Pipeline to find Next Scheduled Tasks. Tasks depend on deal status, business rules, and other factors.

To sort tasks by schedule:

  1. Open your Pipeline and locate the Next Scheduled Task column.

  2. Sort by clicking the column header. You’ll see:

    1. Deals with no tasks scheduled.

    2. Overdue tasks.

    3. Tasks scheduled for tomorrow, 2 days from now, etc.

Accessing your Workplan

To access your work plan swipe right on iOS, or click the menu icon in the upper left corner on Android, and click on the Workplan icon.

Your workplan will provide a quick glance of the activities you need to complete. You can view your workplan in a card view or a list view.

  • Phone call task

  • Email task

  • Text message task

  • Video task

  • Generic task

Multiple icons in the same row in the action column indicate a choice in which activity needs to be done to complete the task.

Completing your Workplan

Click on one of the activity icons and complete the activity associated with the task. For the thumbtack tasks, you will see the words "Mark Complete" under the task on the customer card. Click Mark Complete to complete the generic task.
