Upload Customer Records in Bulk

Overview

Import Lists lets you upload customer records and Garage VINs directly into DriveCentric. Using a simple four-step process, you can upload a file, configure settings, map your data to DriveCentric fields, and submit your import. Imported records will be available after the nightly mining process runs.


How to Use

Step 1: Upload Your File

From the Import Lists screen, select the + Import List button to start a new import.

On the Upload File screen:

  • Drag and drop your file or use the file browser to select it. Supported file types are CSV and XLSX.

  • Files must be under 100 MB and contain no more than 15,000 rows.

  • Your file will be scanned automatically for security before moving forward.

Once your file uploads successfully, a File Name field will appear below the upload area. The file name is pulled from your file automatically and can be edited. This name will be applied as a Customer Tag to all records in the import.

Select Continue when ready.

Step 2: Configure Import Settings

On the Import Settings screen, you can apply additional Customer Tags and define how duplicate records are handled.

Customer Tags

Select one or more existing tags from the dropdown to apply to all imported and updated records.

The file name tag from Step 1 will appear automatically and cannot be removed.

Duplicate Behavior

Choose how DriveCentric should handle records in your file that match an existing customer (matched by full name and phone or email):

  • Skip Duplicates: Duplicate records are not imported. They will appear in the Unprocessed download on the Import Lists screen.

  • Tag Duplicates: Duplicate records are not imported, but the existing matching customer will receive the import tags.

  • Tag and Update Duplicates: The existing customer record is updated with new contact information, address, and Garage VINs from the file, and the import tags are applied.

Select Continue when ready.

Step 3: Map Your File Columns

On the Map Values screen, match each column in your upload file to the corresponding DriveCentric field.

  • DriveCentric will attempt to automatically map columns where the header is an exact match to a DriveCentric field name.

  • You can change any mapping using the dropdowns.

  • Two example values from your file will display for each mapped field so you can confirm the mapping looks correct. If a value appears to be mapped incorrectly, a warning will display.

  • Each column can only be mapped once. Once a column is selected, it will no longer appear as an option in other dropdowns.

Required mappings before you can submit:

  • First and Last Name OR Company Name

  • At least one Phone Number OR Email Address

  • When a phone or email is mapped, the corresponding Type field (Home, Work, Mobile, Personal) is also required.

Available fields to map:

  • Customer First Name

  • Customer Last Name

  • Company Name

  • Phone (up to 3)

  • Phone Type (required field)

  • Email (up to 3)

  • Street Address

  • City

  • State

  • Zip

  • County

  • Nickname

  • Date of Birth

  • Garage VIN (up to 3, with optional Mileage)

  • Note

Once all required fields are mapped, select Import to submit. A confirmation prompt will appear. This action cannot be undone.

Step 4: Track Your Import

After submitting, you will be returned to the Import Lists screen, where you can track the status of your import.

Status definitions:

  • Draft: The import was saved but not submitted. You can return to complete the configuration at any time. Click the trash can icon to the right of status to delete.

  • Pending: The import has been submitted and is currently processing.

  • Completed: The import finished successfully.

  • Error: The import could not be completed after multiple attempts. Download the Unprocessed file to review which rows failed and why.

Downloading results:

From the Import Lists screen:

  • Click the count in the New, Updated, or Unprocessed columns to download a CSV of those records

  • Download your original file at any time from the Original File column


Notifications

You will receive a push notification when your import completes or encounters an error. Notifications go to the user who last edited the import configuration.


Common Workflows After Import

Once an import has completed and the tag has been applied to the imported customers, you can leverage Mining the following day to act on that data. In Mining, create a segment using the tag(s) generated during the import to surface the relevant customer list. From there, the most common next steps are:

  1. Assign a Task β€” Select the segment and assign follow-up tasks (calls, appointments, etc.) to individual salespeople or teams to ensure timely outreach.

  2. Create an Email Blast β€” Use the segment to build and send a targeted email campaign directly to the imported customers.

  3. Redistribute Customers β€” Reassign the customers in the segment to other users.

  4. Create an AI Campaign β€” Launch an AI Campaign against the segment to automate personalized, multi-touch outreach to the imported list.


Things to Know

  • Only one import can be in Pending or Pending Mining status at a time per store. If you attempt to start a new import while one is still processing, you will see a message to check back the following day.

  • Imported records will appear in Mining after the nightly mining process completes.

  • Completed and errored imports are view-only. You cannot edit or resubmit them. To retry a failed import, correct your file and start a new import.

  • The maximum file size is 100 MB with no more than 15,000 rows.
