Generic DMS Data Requirements: When Your DMS Needs a Custom Import

Step 7: The deal data to request from your DMS provider when your deal history has to be brought into DriveCentric through a custom import.

What Is a Custom Import?

Most DMS platforms, short for Dealer Management System, connect to DriveCentric automatically. If yours does not, your deal history can still come across through a custom import. A custom import means your dealership or your DMS provider sends the deal data over as files instead of through an automatic connection.

Your part is asking your DMS provider for that data and getting the files uploaded. Your Implementation Specialist handles everything after that.


Asking Your DMS Provider for the Data

Have your DMS provider send over as much of the following as they can:

  • Deal details cover purchase type, gross profit, price, and important dates such as when the deal was approved or delivered.

  • Financing details cover APR, short for annual percentage rate, along with monthly payment, term length, and loan or lease amounts.

  • Customer information covers name, contact details, and address.

  • Vehicle information covers VIN, short for vehicle identification number, along with year, make, model, and stock number.

  • Salesperson information covers whoever handled each delivery.

The more complete the data, the better your records will look once they are in DriveCentric.

Sending the Files to DriveCentric

DriveCentric will provide a secure ShareFile link to drop the files into. ShareFile is a file transfer service, so the link is a safe place to upload dealership data.

What Happens After Your DMS Provider Sends the Data

Your Implementation Specialist reviews the data provided and builds a custom import script to bring it into DriveCentric.

There is nothing else you need to do while that is in progress.


Good to Know

  • Partial data is still worth sending, so send what your DMS provider can pull rather than waiting on every field.

  • Data completeness decides how much detail your records carry once the import is finished.

Where do the files get sent?

DriveCentric provides a secure ShareFile link, and the files get dropped there.

What if my DMS provider cannot pull every field on the list?

Send what they can. A partial file is still worth sending, and the more complete the data, the more detail your records will carry.
