DealerCenter CRM: Getting Your Data Moved Over

Step 7: How to export your customer and deal history out of DealerCenter and send the files to your Implementation Specialist.

What Is the DealerCenter Data Extraction?

DealerCenter is a CRM, short for Customer Relationship Management system. It is the software your store uses now to track customers and follow-up. Moving that history into DriveCentric means your team keeps the customer records and deals you have already built instead of starting in an empty system.

DealerCenter does not send your data over for you. Your team exports it out of your own DealerCenter account and sends the files to your Implementation Specialist.


What You Will Be Doing

There are two reports to build and export:

  • A Customers report covering your customer and lead records

  • A Deals report covering your sold deals

Both reports are built the same way, with different columns. Once both are exported, you upload the files to the link your Implementation Specialist sends you.


Building Your Customers Report

Start in your own DealerCenter account:

  1. Go to dealercenter.com and log in to your account.

  2. On the left side menu, click Reports.

  3. Click Add New Report and build a Customers report.

  4. Name the report DriveCentric Data.

  5. Under Advanced Filter, filter Customer Created Date.

Add these columns to the report, in this order:

  • Customer Created Date records the date the customer was added

  • First Name holds the customer's first name

  • Middle Name holds the customer's middle name

  • Last Name holds the customer's last name

  • Mobile Phone holds the customer's cell number

  • Home Phone holds the customer's home number

  • Work Phone holds the customer's work number

  • Email holds the customer's email address

  • Street holds the street line of the customer's address

  • City holds the city line of the customer's address

  • State holds the state line of the customer's address

  • Zip holds the ZIP code of the customer's address

  • Lead Type identifies what kind of lead the customer came in as

  • Customer Status shows where the customer stands in your process

  • Lead Source identifies where the lead came from

  • Inquiry Type identifies what the customer asked about

  • Interested Vehicle Make names the make the customer was shopping

  • Interested Vehicle Model names the model the customer was shopping

  • Interested Vehicle Year names the model year the customer was shopping

  • Interested Vehicle VIN holds the vehicle identification number of the vehicle the customer was shopping

  • Sales Rep names the salesperson tied to the customer

Building Your Deals Report

Build a Deals report the same way you built the Customers report, then add these columns, in this order:

  • Deal No identifies the deal number

  • Deal Status shows where the deal ended up

  • Signer First Name holds the buyer's first name

  • Signer Middle Name holds the buyer's middle name

  • Signer Last Name holds the buyer's last name

  • Signer Cell Phone holds the buyer's cell number

  • Signer Home Phone holds the buyer's home number

  • Signer Work Phone holds the buyer's work number

  • Signer Email holds the buyer's email address

  • Signer Address holds the buyer's mailing address

  • Vehicle Year names the model year of the vehicle sold

  • Vehicle Make names the make of the vehicle sold

  • Vehicle Model names the model of the vehicle sold

  • Vehicle VIN holds the vehicle identification number of the vehicle sold

  • Signer DOB holds the buyer's date of birth

  • Delivery Date records the date the vehicle was delivered

  • Sales Rep names the salesperson tied to the deal

Exporting Each Report

Once a report is built, export it:

  1. Click Print/Export.

  2. Choose CSV.

  3. Choose Raw Data.

  4. Click Export.

Save each file with your dealership name and the date range it covers.

Exporting More Than 5,000 Records

DealerCenter allows 5,000 records per export. If a report holds more than that, export it in batches instead: records 1 to 5,000, then 5,001 to 10,000, and so on. Keep the same columns in every file.

Label the files clearly and in order, for example DealerData_1-5000.csv and DealerData_5001-10000.csv.

Uploading Your Files

Your Implementation Specialist sends you a ShareFile link, which is a secure web page for sending files. Upload every file you exported to that link, including each batch file.


What Happens After You Upload Your Files

Your Implementation Specialist reviews your files and gets your data imported into DriveCentric. If anything looks off with the columns or the file format, they will follow up with you directly.


Good to Know

  • DealerCenter does not send your data for you, so the export has to come out of your own account.

  • 5,000 records is the limit on a single DealerCenter export, so a larger report has to go out in batches.

  • Column order is part of the request, so add the columns in the order listed above on both reports.

What if a report has more than 5,000 records?

Export it in batches of 5,000, label each file with the record range it covers, and upload all of the files.
