The activity tab of the customer deal card is where you can complete or log your customer follow-up activities, schedule future events including tasks and appointments, and view past activities.
Note
On the note tab you can log notes associated with this deal. You can mention another user to notify them to read this note, question or comment you’ve left on the customer card.
Call
If your store utilizes click to call the call option on the activity tab will allow you to place a call by selecting the number you want to call, the number you want to call from and clicking the Call button.
If your store does not utilize click to call the call option on the activity tab will allow you to log your phone call attempts by selecting a call outcome and clicking Log Call.
Email
*Templates are only available for use with Email and Texts.
By clicking the email tab you’ll be able to send the customer an email. You can select an email template at the top of the email dialogue box or by using the folder icon at the bottom next to the "send" button. Or, you can just compose your email below. If you compose an email without selecting a template the system will append the message to include your email signature.
For users with Message Impersonation permissions, you can select to send the email as yourself or another user.
Text
*Templates are only available for use with Email and Texts.
The first text sent to a customer must be an opt-in message. The customer must provide consent before you can continue to text them.
To send your opt-in message in Spanish click the ENG button in green. For more on the text opt in click here.
Once opted in you can communicate through text and you have the option here to add emojis, attach a file or send a GIF!
You can also use a text template by clicking the folder icon at the bottom right.
For users with Message Impersonation permissions, you can select to send the text as yourself or another user.
Keyboard Shortcuts for Text and Email
You can send a text or email from the customer card using keyboard shortcuts from the activity tab.
On a PC the shortcut for sending an email or text is Ctrl + Enter
On a Mac the shortcut for sending and email or text is Command + Enter
Video
To send a video from your desktop click the video tab! You will need to have a desktop camera and microphone. If you don’t have a desktop camera and microphone you can still send videos using the mobile app on your phone.
If your store has Live Rooms you will first need to select whether you want to Record a Video or Start a Live Room.
To start recording click the red button!
Task
The Task tab allows you to schedule a follow-up task for your customer. Just select the type of task, date, and time and hit save.
With permission, you may be able to schedule tasks for other users. Click the drop-down arrow in the Assign to me box to select a different user for the task.
Appt
The Appointment tab is where you’ll schedule an appointment for the customer to visit the dealership. By default, the appointment type will be Sales but you can also select Service, Delivery or General. Select your date and time and hit save.
With permission, you may be able to schedule appointments for other users. Click the drop-down arrow in the Assign to me box to select a different user for the appointment.
