What Is a Data Extraction?
Your CRM, short for Customer Relationship Management system, is the software your store used to track leads, customers, and deals before switching to DriveCentric. A data extraction is your previous provider handing that history over in files DriveCentric can import.
Getting it started belongs to your dealership, not to DriveCentric. Your previous provider takes the request from you, so the first moves are yours.
When to Start and Who Arranges It
Start this process at least 30 days before your launch date with DriveCentric.
You arrange the extraction with your previous CRM provider, usually by contacting their support team or your customer success manager there. Starting 30 days out gives everything time to arrive and get reviewed before you go live.
These steps apply no matter which CRM you are leaving. If there is a help center article for your specific previous CRM, use that one for the exact contacts and forms, and use this article for the overall process.
Notifying Your Previous Provider
Start with the cancellation side of the conversation:
Submit a formal cancellation notice to your previous CRM provider.
Tell them your final date with them.
Ask for your final bill, including any fees tied to the data extractions.
Requesting Your Two Extractions
You will request two extractions, not one:
Your first full extraction covers your store's history in the previous CRM. As a best practice, ask for it as soon as possible once you are paid up with your old provider.
Your gap extraction runs on your actual launch date and picks up anything added after the first extraction.
What Happens After You Request Your Extractions
Once DriveCentric receives your first extraction, your Implementation Specialist reviews the data and catches anything that needs fixing before launch. On your launch date, the gap extraction comes in as well, so your DriveCentric account is caught up from day one.
Good to Know
Extraction fees can show up on your final bill with your previous provider, so ask about them when you give notice.
Two extractions are needed, the first one as early as possible and the gap extraction on your launch date.
30 days before launch is when to start, so there is time to review your data.
Frequently Asked Questions
Does DriveCentric request my data from my previous CRM?
No. The request has to come from your dealership. DriveCentric takes over once your files arrive.
Why do I need a second extraction?
Your team keeps working in the previous CRM until launch day. The gap extraction covers everything added after the first one, so nothing from those final weeks is left behind.
How early should I start?
At least 30 days before your launch date with DriveCentric.
