What Is the eLead Data Extraction?
eLead is a CRM, short for Customer Relationship Management system. It is the software your store uses now to track customers and follow-up. Moving that history into DriveCentric means your team keeps the customer records and deals you have already built instead of starting in an empty system.
Before eLead will release that history, they need to hear from you that your store is canceling, and they need to be paid in full. Those two things are your part of this.
When to Start This Process
Send your cancellation request at least 30 days before your launch date with DriveCentric.
The 30 days is what gives eLead enough time to have your data ready. A late request is what pushes data past your launch day.
Requesting Your Cancellation and Statement of Work
Work through the request in this order:
Contact your Performance Manager at eLead and let them know your store is canceling.
Ask them for a Statement of Work, often called an SOW. This is the document that spells out your cancellation terms and your final payment amount.
Review the Statement of Work, sign it, and return it to eLead.
Make your final payment to eLead.
Ask for the Statement of Work specifically. It is the document that makes the data extraction possible, and eLead does not send it unless you request it.
What to Do If You Are a Ford Dealership Using FordDirect
FordDirect runs on the eLead platform, but the cancellation request routes through Ford, which usually takes longer. Contact your FordDirect or eLead representative instead of your Performance Manager, and expect to sign and forward a prefilled Data Extraction Form.
The FordDirect process has its own article, so this article does not repeat every step of it here.
What Happens After You Sign and Pay
Once eLead has your signed Statement of Work and your final payment, they are prepared to extract your data. From there you coordinate with the eLead data team and schedule two data pulls:
The initial extraction covers your history and happens right away
The gap extraction happens on your launch day and covers anything added after the first pull
eLead uploads the data to a secure ShareFile link, which is a secure web page for sending files. Your Implementation Specialist provides that link.
Good to Know
The Statement of Work has to be requested, signed, and returned before eLead will extract anything.
Your final payment to eLead has to be made in full. eLead does not release the data until the account is settled.
Two data pulls are scheduled, not one, so your launch day activity is included.
FordDirect stores route the request through Ford, which usually takes longer than a standard eLead cancellation.
Frequently Asked Questions
Who do I contact at eLead to start this?
Your Performance Manager at eLead. If your store runs FordDirect, contact your FordDirect or eLead representative instead.
Why do I need a Statement of Work?
It spells out your cancellation terms and final payment amount, and it is what makes the data extraction possible. You have to request it, since eLead does not send it automatically.
Why are there two extractions?
The first one moves your history over. The second one, on your launch day, catches everything added to eLead after that first pull, so nothing is left behind.
