VinSolutions: Getting Your Data Moved Over

Step 14: How to request a full CRM data extraction from VinSolutions and forward the link and password without opening it.

What Is the VinSolutions Data Extraction?

VinSolutions is a CRM, short for Customer Relationship Management system. It is the software your store uses now to track customers and follow-up. Moving that history into DriveCentric means your team keeps the customer records and deals you have already built instead of starting in an empty system.

VinSolutions will not release your data without a request directly from you. Your part is to send that request, stay on top of the case, and forward the email VinSolutions sends back without opening the link inside it.


Requesting Your Data Extraction

Work through the request in this order:

  1. Email support@vinsolutions.com and request a full CRM data extraction to DriveCentric. Include your store name and address.

  2. In that same email, ask for a second gap extraction on your go live date with DriveCentric, which covers anything added after the first extraction.

  3. Save the case number VinSolutions sends back.

  4. Call VinSolutions support at 800.980.7488 every so often to confirm the case is on track.

Forwarding the Extraction Email

When the extraction is finished, VinSolutions emails your dealership's admin two things:

  • A link to the extracted data

  • A password that opens it

Do not click the link yourself. It can only be opened once, so opening it means the data cannot be retrieved. Forward that email straight to your Implementation Specialist instead.


What Happens After You Forward the Email

Your Implementation Specialist takes it from there and gets your data downloaded and imported into DriveCentric. There is nothing else you need to do at that point.


Good to Know

  • The extraction link opens one time only, so forward the email without clicking the link.

  • The email goes to your dealership's admin, so make sure that person knows to forward it rather than open it.

  • Two extractions are requested, not one. The gap extraction on your go live date catches anything added after the first pull.

  • Your case number is how you check on progress, so hold onto it once VinSolutions sends it.


Frequently Asked Questions

What happens if someone clicks the link before forwarding it?

The link can only be opened once, so the data behind it cannot be retrieved. Forward the email to your Implementation Specialist without clicking the link.

Why do I need to ask for a second extraction?

The first extraction covers your history up to that day. The gap extraction on your go live date picks up everything added to VinSolutions after that, so nothing is left behind.

What do I do with the case number?

Keep it, and use it when you call VinSolutions support at 800.980.7488 to check that the case is moving.
