How to merge customer profiles.

Required Permission: Merge

Customer merge will merge two profiles for the customers selected through the merge process. Customer merge can be initiated from the customer deal card header, customer contact card, or from a possible duplicate lead on the notification bar.

Step 1:

To begin the merge process click the possible duplicates in the deal card header, search for possible duplicates on the customer contact card, or click on a possible duplicate lead on the notification bar to open the merge screen.

The original customer will appear on the left side of the merge screen with a list of possible duplicates on the right. Possible duplicates are ordered from the highest match percentage (top) to the lowest match percentage (bottom).

Select the customer you want to merge and click the next button at the bottom.

If the possible duplicates listed are not duplicates of the customer you can ignore duplicates by clicking the Ignore Duplicates option in he bottom left.

Step 2:

Select the information from the current customer profile and the duplicate customer profile you want to keep.

If a row contains identical information or only one customer profile has information in a specific field no selection is available, the box will be pre-checked, and the system will keep the data shown.

You can modify the users you want to be assigned to the final customer by clicking the drop-down arrow to the right of the user's name in the Current Profile column.

The system will automatically keep all contact information from both profiles including all phone numbers and email addresses.

Step 3:

Select the deal you want to keep and click the merge button at the bottom. By default, the deal created first will be listed at the top and be pre-selected.

The deal selection made determines the source type and description of the final deal. The latest pipe stage will be retained regardless of which deal is selected.

All interested vehicles and trade vehicles will be retained.

If either the current customer or duplicate customer selected during the merge process has multiple open deals, only one deal will remain open on the final merged customer. In the event, you need multiple open deals on the final customer, merge duplicates before creating multiple open deals.

Once completed the merge cannot be undone or unmerged. Make sure to review the information before clicking the merge button!

A preview of the final merged customer is available. You can now select the Search for More Duplicates or exit the merge screen by clicking Done at the bottom.
