Delivered Deal Merge (DDM): Navigating Your Duplicates Dashboard

This is a dashboard to help tracked your Delivered Deals that were not a 100% match to a Customer Card in DriveCentric CRM!

In DriveCentric, we work to keep customer records as clean as possible for a number of reasons. One of the biggest items we focus on is the accuracy of DMS-delivered deals coming back to our system and how we link those records to the CRM. We created the Duplicates Dashboard to help track all Delivered DMS records that were not a 100% match to a customer record in the CRM. This not only will help your dealership have accurate reporting when looking at things like Closing Percentage, Days to Delivery, and much more!


To successfully link a CRM Deal to a DMS Deal, a DMS Deal Number needs to be established between the CRM and DMS. This requires your dealership to push all deals from DriveCentric to your DMS to establish a DMS Deal Number. This also allows the Customer Information and Vehicle information to pre-populate in your DMS, which will avoid the need to manually build the deal in the DMS. Once the delivery record is sent back to DriveCentric, we match that record based on the DMS Deal Number that is tied to the Deal Card. If there is no DMS Deal Number associated to a Deal Card in the CRM, you will see the Delivered Deal show up in your Duplicates Dashboard.

You will now be able to access this Duplicates Dashboard under your "Delivered" bucket in the Pipeline. You should see an icon with three silhouettes, and once you click that icon you will be taken to the Duplicates Deals Dashboard:

When you access the Duplicates Dashboard, you will now see all the Delivered Deals that did not have 100% matching information from the DMS record to the CRM customer record.

From here, you can click on the DMS Delivered deal to search for the duplicate records in the CRM, and then choose which record to merge the DMS Delivered deal to:

On the left-hand column, you will see the DMS Delivered Deal that you want to merge into the CRM customer record. On the right-hand side, you will see the possible duplicate Customer Records that are already in the CRM. Any information that matches will be highlighted in Yellow, and you will see a Possible Duplicate % next to the customer name. You will also see the Delivered Deal information above the possible duplicate Customer Records (Delivered Date, DMS Deal Number, and Vehicle of Interest).

You will then have the option to click the "Select" option for the Deal you want to merge the record into, and click the "Next" icon:

Once the Open Deal has been selected from the Possible Duplicate Delivery Dashboard, the user will be taken to merge the Deals. The final deal’s Source Type and Source Description will be the Source Type and Source Description from is associated with the Open Deal. If there is no Open Deal for the Customer, then the Delivered Deal will show as the Source Type and the Source Description is: Showroom - Imported from DMS.
